Elevating Conference Experiences

Objective

Design a custom-designed conference with 20 stands in total, integrating Conference Expo’s Gold and Graphene stand tiers. Additionally, design and implement a personalised multisided Appian Community Hub for the client to present their products and services and hold informal meetings with delegates

The Challenge

Appian tasked Conference Expo to create a conference exhibition environment aimed at providing their partners with a platform to showcase their range of products and services through demonstrations and presentations at Appian Europe. The conference, initially a bi-annual event, sought to provide sponsors with two of Conference Expo’s popular tier options: Gold and Graphene. Each stand included integrated screens for demonstrations, along with additional stand enhancements to ensure the package supported the exhibitors’ requirements for the duration of the conference.

Community Hub Design

Conference Expo was given the additional task of designing a Community Hub positioned prominently on the conference floor for client demonstrations and product talks, providing delegates with a similar familiarity to that experienced at Appian World earlier in the year.

Design and Implementation

After a site visit and meeting with the Appian team, Conference Expo designed a four-sided Community Hub which doubled as a gathering spot and offered partners a dedicated space for meetings with comfortable seating arrangements. The design also included custom-built shelving specifically made for the client to showcase their personalised promotional materials (swag).

Artwork-Checking Facility

This event also marked the launch of Conference Expo’s artwork-checking facility, which provides exhibitors with instant artwork submission reports, removing any delays created by manual artwork checking. The implementation proved immensely successful, significantly easing the burden on partners and streamlining the transition from pre-show to print.

Execution and Success

In the end, the client required only 17 partner stands, and the accommodating structure of Conference Expo ensured that the client was only billed for what was ultimately required. All partners took advantage of Conference Expo’s online portal where they could upload their artwork and submit any queries for the dedicated Conference Expo Project Manager to resolve.

From the consistent professional stand tiers across the conference floor to the centralised Community Hub and comprehensive support from pre-show to post-show, Conference Expo exceeded Appian’s expectations. The event, initially biannual, has now expanded due to its success, and Conference Expo is delighted to announce a more involved partnership with the Appian team in 2024.
